Job Summary:
We are seeking a detail-oriented and organized Business Office Assistant to join our team. The ideal candidate will provide administrative support to ensure the efficient operation of the office. This role involves various tasks, including managing communication, maintaining records, and assisting with day-to-day office functions.
Key Responsibilities:
- Serve as the first point of contact for visitors and clients, welcoming them and addressing their inquiries.
- Answer and direct phone calls and emails, providing accurate information or redirecting as necessary.
- Maintain filing systems and manage documentation, ensuring that all records are organized and up-to-date.
- Assist with scheduling appointments, meetings, and conferences, and prepare necessary materials.
- Process invoices, expense reports, and office supplies orders.
- Coordinate and support various office projects, including research and data entry.
- Maintain office equipment and ensure office supplies are stocked and organized.
- Support other administrative staff as needed, contributing to a collaborative office environment.
- Assist in the preparation of reports and presentations as required.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent; associate degree or relevant certification preferred.
- Proven experience as an office assistant, administrative assistant, or in a similar role.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, and Outlook) and comfortable with various office technologies.
- Strong organizational and time-management skills with the ability to manage multiple tasks efficiently.
- Excellent verbal and written communication skills.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Experience with customer service and a professional demeanor.
