Job Description
We are seeking a proactive and detail-oriented Legal Administrative Assistant to provide essential support to our in-house legal team. In this role, you will be involved in managing various administrative tasks related to corporate transactions, contract administration, document management, and supporting litigation matters. The ideal candidate will be highly organized, have a strong understanding of legal department functions, and demonstrate excellent communication and time-management skills.
Key Responsibilities:

Contract Administration:
Assist with drafting, reviewing, and editing legal documents, including contracts, agreements, and other transactional materials.
Maintain contract templates, ensure compliance with corporate policies, and track contract deadlines, renewals, and obligations.
Ensure timely execution and compliance of contracts.
Document Management:
Organize and manage both electronic and physical files for various legal matters, including contracts and related correspondence.
Coordinate document execution and notarization as needed.
Perform routine audits of document management systems to ensure accuracy and completeness.
Administrative Support:
Schedule and coordinate meetings, calls, and presentations for the legal team.
Assist with internal and external communications related to legal matters.
Help prepare and process internal reports, expense reports, and invoices.
Co-manage the General Counsel's calendar.
Transactional Coordination:
Support the legal team through various stages of corporate transactions, such as due diligence, closing, and post-transaction activities.
Assist with governmental filings, corporate governance matters, and compliance documentation.
Conduct preliminary research and due diligence as needed.
Compliance and Record Keeping:
Ensure all documentation and administrative processes comply with corporate policies and legal requirements.
Maintain accurate and up-to-date records for audits and reviews.
Team and Office Support:
Assist with office supply and equipment needs for the Legal Department.
Perform other duties as assigned.
Required Knowledge, Skills, and Abilities:
Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and legal document management systems.
Experience with task management software (e.g., Trello, Asana, Monday.com).
Strong understanding of corporate legal terminology, transactional procedures, and compliance requirements.
Excellent organizational and time-management skills with the ability to prioritize multiple tasks.
Superior written and oral communication skills, with attention to detail and accuracy.
Ability to work independently and collaboratively with a team.
Professional demeanor with the ability to handle confidential information.
Strong problem-solving skills and the ability to adapt to changing priorities.
Education and Experience:
Associate's degree in Paralegal Studies, Legal Administration, Business Administration, or a related field is required; Bachelor's degree preferred.
A commissioned California Notary Public in good standing is strongly preferred.
3-5 years of experience in a legal administrative role, particularly within a corporate legal department or transactional law firm.
Experience with corporate transactional matters and contract management is preferred.
Physical Requirements:
This role involves regular communication, standing, walking, typing, and handling office equipment.
Working Conditions:
Full-time position with standard office hours.
Hybrid work arrangement (in-office and remote work days).
Occasional overtime or additional hours may be required based on project deadlines.
