Job Description

Our Chicago client is an insurance agency specializing in medical malpractice insurance. They are seeking a highly motivated and experienced Office Manager who excels in working independently and autonomously. This role requires a proactive professional capable of driving efficiency and overseeing all aspects of daily office operations without close supervision.

The primary role of the Office Manager is to oversee the daily operations of the agency, manage staff, maintain efficient office systems, and ensure the best possible service for our clients. This position will involve administrative support, financial and IT systems management, and helping ensure the smooth running of the office.

Insurance experience is not required.

Key Responsibilities:

  • Independently manage and optimize daily office operations, ensuring seamless and efficient workflows.
  • Prepare reports for agency leadership and track key performance metrics.
  • Oversee agency finances, interact with external accountant.
  • Take full ownership and ensure compliance with internal and external policies, regulations, and industry standards.
  • Build and maintain strong business relationships with clients and insurance carriers to support business growth.
  • Oversee daily office operations, ensuring smooth and efficient functioning.
  • Review office procedures to ensure they align with company goals and compliance standards.
  • Process premium payments, manage bank deposits, and oversee financial records for the agency.
  • Develop and implement office policies, procedures, and best practices.

Qualifications:

  • Demonstrated experience in office management or leadership roles that require autonomy and self-direction.
  • Strong communication skills - written, verbal, and listening.
  • Proven leadership and team management abilities.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Strong problem-solving skills, with the ability to handle difficult situations and find solutions independently.
  • Proficiency in office software and technology (e.g., Microsoft Office Suite and Contact Manager).
  • High level of professionalism, confidentiality, and independent decision-making ability.


Salary: 50 - 75k commensurate with Experience, Benefits, 410(k).
